Privacy Policy

This policy explains how Shubh Soft Solution ("we", "us") handles information in Exam Portal: the Android app (package com.shubhsoft.examportal) and the website at exam.shubhsoftsolution.in, used by schools, coaching centres and institutes to run objective (MCQ) exams for their students.

Who the service is for

Institutes sign up on the website and create logins for their students. Students cannot create accounts in the app; they sign in with the institute code, user name and password given by their institute. The institute decides what information is entered and who can see it. For that information the institute is the data owner, and we process it on the institute's behalf to provide the service.

Information we collect

• Institute and admin details: institute name and code, the admin's name, email and phone number. Passwords are stored only in a securely hashed form.
• Student details entered by the institute: name, user name, optionally email, and batch/class.
• Exam data: exams, questions and answer keys created by the institute; each student's answers, start and submit times, score, rank and result.
• Device identifier: when a student signs in and submits an exam, the app sends the Android ID that Android gives this app on your phone (not your phone number or IMEI), so that an exam attempt can be linked to one device and duplicate uploads are prevented.
• Activity log: sign-ins, exam submissions and admin actions (for example "results declared"), so institutes and our support team can check what happened.
• Payments: when an institute buys a plan, payment is handled by Razorpay. We receive the payment status and reference number; we never see or store card, UPI or bank details.

The app does not collect location, contacts, photos, camera, microphone or files, and shows no advertising. It only uses the internet and network-status permissions (to download exams and upload answers when you are online).

Information stored on the phone

So that exams work without internet, the app keeps the downloaded exams and questions, your answers (saved as you tap them), your results and a securely hashed copy of your password (for offline sign-in) in the app's private storage on your phone. Screenshots and screen recording are blocked on the exam screen. Signing out keeps this data on the phone, so answers that have not been uploaded yet are not lost and upload at the next sign-in. To remove it completely, uninstall the app or clear its storage in your phone's settings.

How we use information

• To provide the service: sign-in, downloading exams, saving and uploading answers, automatic marking and showing results.
• To keep exams fair and the service secure: one attempt per student, flags for unusual timing, blocking misuse.
• To provide support when the institute asks us to.
• For institute admins only: an optional help assistant answers how-to questions. The question typed and a summary of the institute's own counts (for example number of exams) may be sent to an AI service to write the answer. Student answers are not sent.

We do not sell personal information and do not use it for advertising.

Sharing

Student information is visible only to that student and to the admins of their institute. Each institute's data is kept separate from other institutes. We share information only with service providers who run the service for us (secure cloud servers and database in India, the Razorpay payment gateway, and the AI service mentioned above), or when required by law.

Storage and security

• Data is stored on secure servers in India (Amazon Web Services, Mumbai region).
• All traffic between the app or browser and our servers is encrypted (HTTPS).
• Passwords are hashed; access is controlled by roles; sign-in attempts are rate-limited.

How long we keep data

We keep an institute's data for as long as the institute uses the service. When an institute stops using it or asks us to delete its data, we delete it within 30 days. An institute can delete a student's submission or account at any time.

Your choices and deleting your data

Students: to correct or delete your account and exam data, ask your institute, or write to us at shubhsoftsolutionapps@gmail.com with your institute code and user name. Institutes can ask us to delete the whole institute account the same way. We respond within 30 days, as required by India's Digital Personal Data Protection Act, 2023.

Children

Students may be under 18. Their accounts are created and managed by their institute, which is responsible for obtaining any consent needed from parents or guardians. We use student information only to run exams and show results, as described above.

Changes to this policy

If we change this policy, we will update this page and the effective date above.
